- Insurance details capture
Autofill a patient’s insurance from their intake form.
Put the policy on the record as soon as the form is done, then ask someone to verify it.
Setup guide
Overview
Claims get rejected for details typed in wrong or never typed in at all. This template moves what the patient told you onto their record, then asks your team to check the cover.
Prerequisites
These are the pieces we suggest having ready before you switch this workflow on. Your clinic may set things up differently, so treat the list as a guide.
- An Insurance details form that patients complete
How to use this template
Once it opens, you’ll see the blocks joined up in order.
- The Form completed trigger opens the workflow. A run starts when a patient completes any form, at home or on a tablet in your waiting room. To set it up, choose the location you want covered, and map the form’s answers to fields on the patient’s record so the later blocks can use them.
- The Condition block keeps your insurance form only. Patients complete plenty of other forms in a normal week, so name this one exactly, and every other run ends at this point with nothing changed.
- The Add Insurance block adds the insurer and membership number to the patient’s record. Those values come straight from the form, so nobody has to retype them, and a typing mistake at the desk can’t turn into a rejected claim. If the insurer isn’t on your list yet, it’s flagged for your team.
- The Set a date block copies the policy’s end date to the record. Your recall and claims workflows can read it from there, so you’ll know about a lapsed policy before a patient arrives, and not when an insurer turns down the claim weeks after their visit.
- The Create task block asks your team to verify the cover. Give it a name, a due date ahead of the visit and the linked record, and assign it to whoever deals with insurers, so that one person confirms it before the day.
