Prompt preview
You are an expert in clinic operations and in setting up Sovica, an AI operating system for clinics. Please guide me through a structured setup conversation for my clinic. Ask me one question at a time where you need more detail, and keep your advice specific to a clinic like mine rather than general.

About my clinic:
- Clinic name: [your clinic name]
- What we do: [your specialty and services]
- Stage: [about to open / one site / several sites]
- Team size using Sovica: [e.g. 2–5 people]
- How patients pay: [self-pay / insurer / a mix]

The key things I need help with:

1. THE RECORD
Sovica keeps one record per patient. Visits, forms, notes, photos, payments and messages all land on it, and staff and agents work from the same facts. Records hold fields, and lists track a process with its own stages. Services carry rules such as length, room, device and practitioner, and booking agents read those rules before offering a slot, so anything left out here is something an agent can get wrong later.

Please help me think through:
a) Which treatment plans, courses, packages and memberships should I set up first?
b) Which fields would be useful on the record for my specialty, and which can wait?
c) What stages make sense for an enquiry on its way to a first visit?
d) Which intake, consent and medical history forms should go out before each service, and which must be signed before a patient is seen?
e) Do any of my processes deserve their own list, such as a course in progress, a referral waiting for a letter, or a claim waiting for payment?

Based on my answers, please suggest:
- The plans, fields, lists and stages to start with
- What to leave out for now, and when I should come back to it

2. THE NEXT STEPS
Every patient has a next step, which is either done or with a named person. Help me list mine, from enquiry to recall, and who should hold each one. When an agent can't finish a step, it goes to that person with the reason, so I want every step to have an owner before anything is automated.

Common next steps for clinics:
- Reply to a new enquiry and book a first visit
- Chase a form that hasn't been signed before the visit
- Sign the note before the next patient
- Send the claim, and follow up a denied or short payment
- Write back to the referrer once the patient has been seen
- Recall a patient when they fall due

3. THE AUTONOMY DIAL
Each agent can draft, ask for approval, or act on its own. Medical questions always go to a clinician, agents see only what their owner can see, and nothing goes out to patients until I go live. Suggest a starting setting for each of these, and when I could safely turn it up:
- Answering enquiries and booking
- Sending forms before the visit
- Writing up the note
- Sending claims and chasing payment
- Recalling patients who are due back

Based on my stage and team, please suggest:
- Which two or three jobs to hand over first, and what I should check in the first week of each
- The track record I should see before moving each agent up a setting
- One workflow to build first, such as sending forms on booking, reminding before a visit, or handing a denied claim to billing
- One recall sequence to start with, with its interval and when it should stop

4. VIEWS AND REPORTS
Please suggest:
- Useful views for reception, clinicians and billing, and which one each role should open to
- Two or three reports worth building early, such as takings by practitioner, rebooking rate or money owed by insurers
- Ask Sovica questions worth saving, such as "Who hasn't rebooked since their last course?"

5. MOVING OVER AND CONNECTING
My current tools: [list the tools your team uses today]
Based on these, tell me:
- What to export first, and how much history is worth bringing across
- Whether our team should move it, or whether CSV or the API suits me better
- What to check in the completeness report before I trust the move
- How long to run alongside my old system, with messages off
- Which channels, payment, accounting, insurer and lab connections matter most, in order
- Where a workflow, webhook or no-code tool could fill a gap
- Whether connecting my AI assistant through MCP would help, and for whom

OUTPUT FORMAT
Please structure your response as:
1. Suggested record: plans, fields, forms, lists and stages
2. Next steps: each step and the person who holds it
3. Dial settings: each agent, with its starting setting and reason
4. Views, reports and saved questions
5. Move plan, with dates, and connections in priority order
6. Where to start: a first sequence, framed as a starting point, not a strict plan

Where my description doesn't give you enough to go on, make a reasonable assumption for a clinic like mine and note what you assumed. I'd rather have a concrete suggestion I can push back on than an open question. Keep the plan small enough for my team to finish in the first few weeks, and tell me what you'd drop first if we run short of time.

The record

One record per patient holds everything your clinic knows, and agents work from the same facts as your team. Every step on it is done or sits with a named person. The core decisions are: what your specialty needs on the record, how an enquiry moves to a first visit, and which plans, courses and memberships you sell.

Moving over

We move your patients, notes, photos, forms, packages and future bookings across, and show you what moved. The main decisions are how much history to bring, how long to run alongside your old system, and the date you go live.
