Setup guide

Overview

Patients rarely decide to come back on their own. They come back when someone asks at the right moment. This template asks for you, on the interval you set, and stays quiet for anyone with a visit in the diary.

Prerequisites

These are the pieces we suggest having ready before you switch this workflow on. Your clinic may set things up differently, so treat the list as a guide.

  • Patients’ consent to hear from you by text

How to use this template

Once it opens, you’ll see the blocks joined up in order.

  1. The Appointment status changed trigger runs each time a visit’s status changes in the diary. So that it’s set up correctly, choose the appointment types that lead to a review, along with the locations you want this recall to cover.
  2. The first Condition block carries on only for finished visits, so cancelled and missed appointments end here, and a no-show goes to its own workflow.
  3. The Delay block waits for your recall interval. Six months suits many reviews, and both the number and the unit can be changed for each kind of visit.
  4. The second Condition block checks the diary, so patients who have already booked hear nothing:
    {Next appointment} [is empty]
  5. The Send SMS block sends the reminder, with a link to book their next visit online. Turn on the opted-in setting if your clinic treats recalls as marketing.
