Acceptable use

The rules for using Sovica safely, for your clinic, your patients and everyone else who relies on the service.

Draft: pending legal review

1. Introduction and definitions

This policy forms part of the Services Agreement between Vahue Ltd (“we”) and the clinic or group that subscribes to Sovica (the “Customer”). It applies to everyone the Customer lets use the service (“Users”). Words defined in the Services Agreement mean the same here.

2. Using the service properly

Customers and Users may use Sovica to run their clinical practice, within their plan and the law. Each User needs their own login. Logins, passkeys and authentication codes must not be shared, and access must be removed when someone leaves.

Users should only open a patient’s record when they have a legitimate reason connected with that patient’s care or the running of the clinic. Audit logs record this access and are available to the Customer.

3. AI features

Sovica includes AI features that draft, summarise, suggest and, where the Customer switches it on, act. The Customer decides how much each one does by itself. Three rules apply:

  • A qualified person remains responsible for every clinical decision. AI output is a draft for them to check, not medical advice.
  • AI features must not be set to diagnose, prescribe or decide treatment without review by a suitably qualified clinician.
  • Patients must be told about AI use where the law or professional guidance requires it, for example before recording a consultation.

4. Prohibited use

You must not, and must not let anyone else:

  • use the service for anything unlawful, or in breach of professional rules that apply to you;
  • add patient data you have no lawful basis to process, or send marketing to people who have not agreed to receive it where consent is required;
  • upload malware, or try to break, probe or get round the service’s security, except as our Vulnerability Disclosure Policy allows;
  • access another customer’s data, or try to re-identify data that has been anonymised;
  • scrape the service, resell it, or use it or its outputs to build a competing product;
  • overload the service, or get round plan limits and usage controls.

5. Messages sent through the service

The Customer is the sender of the emails, texts and calls it sends through Sovica, including those sent by workflows and agents. It is responsible for their content, for having a lawful basis to send them, and for honouring opt-outs.

6. Integrations

When you connect a third-party product, you choose to send data to that product, and its own terms apply. Check that it is suitable for the data involved before you connect it, particularly if that data includes health information.

7. Availability and disclaimers

Sovica is not an emergency service and must not be relied on to monitor patients in real time. Clinics should keep a fallback process for essential care in case the service is unavailable.

8. Communication and violations

If we reasonably believe this policy has been broken, we may contact you, ask you to fix the problem, or limit or suspend the affected access where needed to protect patients, other customers or the service. Where we can, we will warn you first. Tell us about misuse at support@sovica.ai.
