Set up AI Scribe

Choose who can record and how consent is captured.

An administrator sets up AI Scribe once for the clinic. Go to Setup and open AI Scribe. The page has four sections on the left: Users, Prompt Templates, AI ready forms and Settings.

Give staff access

In Users, turn on the switch beside each employee who should record, then click Confirm changes. Anyone without the switch on sees a locked page.

Choose how consent works

In Settings, turn on Require patient consent to block recording until consent is captured, then pick how it is captured:

  • Verbal: the practitioner confirms the patient agreed.

  • Written: the patient signs a form during check-in. Choose it under Which consent form?

  • Verbal + Written: both are needed.

Set language and data handling

  • Spoken language and Note language can differ.

  • Pause on long silences stops recording after 30 seconds of silence.

  • Hide patient name in transcripts, Auto-delete recordings after note is signed and Retention period control what is stored.
