Link the policy to cancellation reasons
Choose which cancellation reasons apply your fee, so your team doesn't charge for clinic-led cancellations.

Some cancellations shouldn't incur a fee, such as when your clinic moves the appointment.
Go to Setup and open Cancellation Reasons.
Open a reason.
Choose whether it applies your policy.
Save.
Staff then choose a reason when cancelling, and the fee follows that choice.
